Privacy Policy

This policy explains what data Qawi collects when you use the Qawi app, the Qawi web app and this website, why we need it, who can see it, and how to delete it.

1. Who we are and what this covers

Qawi (“we”, “us”) runs a gym-management platform for gym owners, coaches and members. This policy covers the Qawi mobile app (Android package com.theqawi.admin), the web app at https://app.theqawi.com and the website https://theqawi.com (together, the “Services”).

2. Who is responsible for your data

We are responsible (the data controller) for account data and for running the platform.

When a gym uses Qawi to manage its members and coaches, the gym is responsible for the member information it adds and manages, and we process that information on the gym's behalf.

3. Information we collect

  • Account information: name, email address, phone number, password (stored only in hashed form), your role (owner, coach or member) and the gyms you belong to. If you sign in with Google, we receive your name and email address from Google.
  • Gym information (owners): gym name, logo, description, phone numbers and social links, address and map location, opening hours, amenities, photos and videos, membership plans and prices, and optional business license details.
  • Membership and attendance: your plan, subscription start and end dates, join requests, the payment method and amount the gym records, and the times you check in.
  • Fitness and profile information (members and coaches): gender, date of birth, height, weight, BMI readings, goals, training experience, city, workout and meal plans, what you log, and achievements. You enter this yourself and most of it is optional.
  • Messages: chat messages you send to coaches, members or your gym.
  • Reviews you write about a gym.
  • Purchases: if an owner subscribes to Qawi Pro, the app store tells us which plan was bought and whether it is active. We never receive your card details.
  • Device and usage data: device model, operating system and app version, IP address, and crash and diagnostic data, used to keep the Services secure and working.

4. Device permissions

The app asks for these permissions only when you use the feature that needs them:

  • Camera: to scan your gym's check-in QR code, and to take a photo if you choose to. We do not record or upload anything from the camera when you scan a code.
  • Location (only while the app is open): to show gyms near you, to suggest your city, and for owners to put the gym on the map. We never track your location in the background.
  • Photos and files: when you pick a profile photo, gym photos or documents through your phone's picker, and to save the check-in QR poster to your gallery.
  • Network access: to sync your data with our servers.

5. How we use information

  • To provide the Services: memberships, join requests, check-ins, attendance, coaching, workout and meal plans, chat and notifications.
  • To show each gym's public page (name, photos, hours, location, plans and reviews) to people looking for a gym.
  • To show owners statistics about their own gym, and coaches the progress of their own trainees.
  • To review new gyms before they are listed.
  • To manage Qawi Pro subscriptions.
  • To keep the Services secure, prevent abuse and fix problems.
  • To send you messages about your account and the Services.

6. Who can see your information

We do not sell your personal data, and we do not share it with advertisers or data brokers.

  • Your gym: if you are a member, your gym's owner can see your profile, membership, payments they recorded and attendance, and the profile details used in gym statistics (such as goal, gender and age group).
  • Your coach: a coach assigned to you can see your workouts, meals and progress, including BMI and weight.
  • Other app users: gym pages and the reviews posted on them are visible to people using the app.
  • Service providers that run the Services for us, under confidentiality and security obligations: cloud hosting, database and sign-in providers, Google (Google sign-in and maps) and the app stores (Google Play and the Apple App Store) for Qawi Pro purchases.
  • Authorities, when the law or a valid court order requires it.

7. Payments

Qawi does not process payments between members and gyms. Members pay their gym directly, in cash or by card at reception, and the gym records the payment in Qawi.

Qawi Pro subscriptions are bought and billed through Google Play or the App Store. The store handles your payment details; we only receive the purchase status.

8. Security

Data is encrypted in transit (HTTPS) and stored with our cloud provider, which encrypts it at rest. Passwords are stored hashed. Access rules keep each gym's data visible only to the people who should see it.

No system is perfectly secure. If you think your account is at risk, contact us right away.

9. How long we keep data, and deleting it

We keep your data while your account is active, and longer only when the law requires it (for example, for tax or accounting).

You can delete your account at any time. Owners can delete their gym and account in the app under More → Settings → “Delete gym & account”; members and coaches under Me → “Delete account”. Anyone can ask us to delete their account by following the steps at https://theqawi.com/delete-account.

After we confirm a deletion request, we permanently delete or anonymise your personal data, login details and sessions within 30 days.

When an owner deletes a gym, the gym's profile, photos, plans and hours are removed, and coach access is removed. Members keep their own accounts, workouts and meals, without the gym.

10. Your choices and rights

You can see and edit most of your information in the app. You can also ask us for a copy of your data, to correct it, or to delete it, by writing to support@theqawi.com. Depending on where you live, you may have further rights under local data protection law.

11. Children

Qawi is not directed at children under 13, and we do not knowingly collect their personal data. If you believe a child under 13 has given us personal data, contact us and we will delete it.

12. Changes to this policy

We may update this policy as the Services change. When we do, we change the “Last updated” date at the top of this page.
